Mileage Reporting & Compliance Policy

Effective Date: July 5, 2025

Applies To: All Ritugo drivers, fleet managers, and administrative personnel involved in vehicle operations on the Ritugo platform in Utah and across any interstate routes where Ritugo operates.



1. Purpose

This policy establishes Ritugo’s commitment to accurate, transparent, and legally compliant reporting of operational mileage, driver activity, and ride-related revenue. It supports compliance with applicable federal and Utah state regulations, including Internal Revenue Service (IRS) recordkeeping guidance and transportation oversight requirements.



2. Scope

This policy applies to:

  • All Ritugo drivers using personal or company-authorized vehicles

  • Fleet management and operations personnel

  • Administrative staff responsible for reporting, auditing, or compliance



3. Reporting Requirements

3.1 Monthly Mileage & Operational Records

Ritugo maintains monthly records that may include:

  • Total miles driven per vehicle

  • Number of active drivers

  • Total rides completed

  • Average ride distance

  • Geographic distribution of rides

  • Revenue generated per vehicle and driver

These records are compiled for operational oversight, regulatory compliance, and financial reporting purposes.



4. IRS Mileage Reimbursement Standards

Where applicable, Ritugo follows IRS standard mileage reimbursement guidance for business use of personal vehicles.

  • 2025 IRS Standard Mileage Rate: $0.70 per mile

Drivers seeking reimbursement must maintain accurate mileage documentation and submit records in accordance with Ritugo procedures.



5. Record Retention & Audit

  • Mileage and operational records are retained for a minimum of seven (7) years

  • Records may be audited by Ritugo or by federal or state authorities

  • Ritugo will cooperate with lawful audit requests and provide documentation promptly



6. Compliance & Enforcement

Drivers and fleet personnel are responsible for complying with this policy. Non-compliance may result in:

  • Suspension or termination of platform access

  • Disciplinary action

  • Loss of reimbursement eligibility


7. Policy Review

This policy is reviewed at least annually and updated as necessary to reflect changes in tax law, regulatory requirements, or operational practices.
